How to Obtain CESS Approval in UGAmart

How to Locate the CESS Form in UGAmart

  • After logging into UGAmart, using your MyID and password, click on the "Forms" tab located at the top of the page.
  • From the left side of the page, select "Shared" and then "Organization Forms".
  • The "CESS Approval " form will be located in the center of the page.

Completing the CESS Form

  • All fields must be completed correctly. Select the appropriate unit coordinator in order for the CESS request to be routed correctly.
  • If addtional space is needed for any reason, documents can be easily attached electronically to the CESS request in the provided field.
  • Once information has been entered into the CESS form, click "GO" in the top right corner next to the option "Add and Go to Cart".

Finalizing the CESS Requisition for Submission and Approval

  • After the CESS form has been added to a cart, the process to finalize the submission of the CESS is the same as submitting other requisitions.
  • It is suggested that the cart name contain "CESS" so that departmental CESS requisitions can be located easily. If changes are made to the cart name or the description of the cart, click "Save".
  • Next, click "Review" located near the top right. You will be routed to the requisition page. Information must be entered for "Shipping", "Billing", and "Accounting Codes".
  • The requisition is routed to the departmental unit coordinator for approval by clicking "Place Order" located near the top of the page.

Once CESS Approval has been Obtained

  • When the CESS request has been approved, an email notification will be sent with the approval number. The approval number can also be found within UGAmart under the "History" tab on the CESS requisition.
  • The CESS approval number must be specified on every purchase requisition against this project. Example CESS approval number.
